Financial Reporting and Review
Through detailed monthly job reviews, each community is analyzed from every aspect of its operation. During the job reviews, we involve management team members to ensure they recognize their responsibilities and have the opportunity to participate in the operation of the community. The portfolio manager, community manager and finance department answer directly to the president of the firm during these sessions. Through these sessions, we are able to identify and adjust the operations to prevent potential problems before they seriously affect the management process. We are able to tailor monthly reporting requirements to the owners' needs and housing agencies' requests. We have considerable experience and work hand-in-hand with syndicators and investors to ensure their needs are met.
We use Bostonpost's Property Manager to accumulate resident accounting and certification information.
Compliance & Training
We operate the type of business where rules and regulations change almost daily. In order to maintain a high level of compliance, our specialized staff in Compliance & Training are constantly gathering new information and researching changes. We are dedicated to quarterly training sessions with all of our Community Managers and provide an extensive five day training session to newly hired personnel. The lines of communication remain open and available for field staff to get answers to the many compliance questions that arise for them every day. Well-educated staff provides for well-managed properties.
Marketing
Each community has a tailored marketing plan developed to guide the management team toward achievement of occupancy targets. Each market in which the community is located is constantly reviewed to realize the maximum rent levels. Through our resident surveys, we monitor our communities for resident satisfaction and retention. Every one of our communities participate in our annual landscaping contest, which rewards the site staff for landscaping and curb appeal. We have found this program to be a meaningful incentive and it has become competitive throughout our communities.
Insurance & Safety
The Risk Management Department consists of a Risk Manager and an Insurance Administrator who provide service in all aspects of insurance from claim filing, partnering with insurance adjusters to process claims, seeking cost efficient insurance coverage, requesting Certificates of Insurance, and offering policy analysis. In additio, we provide staff training, issue publications, and advise on matters pertaining to the safety and security of tenants, employees, and maintenance of properties.
Asset Protection and Maintenance
The maintenance department is responsible for quality services to our residents. Response time to work orders, preventive maintenance, turnover procedures and inventory controls are the key to providing our residents the very best service in their homes. Due to our size, we are able to obtain supplies at below market costs. We work directly with the owners in planning long-term capital improvements to enhance and preserve their asset.
